The problem
Every company with complex sales cycles, from industrial machinery to contract, custom furniture and many others, faces the same work with every request: gathering information, cross-checking it with available data, running the necessary calculations (installation hours, delivery distance, product configuration) before even being able to write a quote. Often a checklist of twenty questions or more, verified by hand.
And when the amount is high, the customer does not want to fill in standard forms alone: they expect a tailored response, not a self-service procedure.
The result is a huge workload for the sales department and long times from first contact to economic proposal. Times that are paid for in lost contracts against competitors able to respond sooner.
The solution
Today it is possible to automate a significant part of this work by building specialized AI agents (or, more precisely, agentic workflows) integrated with the CRM and management system in use.
The AI agent can process requests that arrive via email, WhatsApp or other unstructured channels and automatically execute work usually managed manually by the sales department, such as:
- Extract the relevant information from the request text, even when it is disordered
- Cross-check the request with data already present in the company and with external sources via API
- Verify what is missing compared to what is needed for the quote
- Collect missing data through personalized replies, sent directly or ready as a draft to review, or dynamic forms that ask only what is needed
- Calculate installation hours, delivery distances and many other variables automatically
- Categorize and assign the request to the right department
- Manage follow-up logic
In this way, the sales department can focus on the relationship with the customer, working only on complete requests with all information available and with all routine calculations already executed.
Reliability
AI is extremely powerful and inserting it into company processes is relatively simple. The complex and important part is building a system reliable enough to be used in contact with real customers and to manage high-value sales. To guarantee this, we adopt several techniques:
1. As little AI as possible, only where it matters
When something can be done with code or with a function of the management system, we do it that way: it is more reliable and costs less. AI is used surgically only where it is the best choice: especially in the analysis of unstructured data such as text received via email or WhatsApp and in information extraction.
In fact, whenever possible we prefer to use validated templates for replies and testable deterministic automations for decisions downstream of extraction. This reduces the amount of AI behavior to test, reduces AI call costs and frees budget to use the best frontier models where they matter.
2. Thorough testing and monitoring over time
Based on the specificity of the individual project, we create:
- a sufficiently large dataset, combining synthetic requests and any real requests, to test the real behavior of the system
- a set of measurable requirements to consider the agent's behavior sufficiently reliable
- explicit rules, preferably deterministic (not delegated to the AI model), to handle particularly delicate cases to flag or transfer directly to the sales team
This makes it possible to introduce a reliable and tested agent into the company flow. After that, our continuous monitoring service includes monitoring behavior over time on real requests, to promptly identify a drop in performance.

Technology and integrations
We build our agents on open-source technologies: AI SDK, Vercel Workflows and Next.js. This is a deliberate choice: it does not bind the client to us, nor to a single artificial intelligence provider. The entire solution can be moved elsewhere with minimal changes, without being trapped in a platform.
Integration with the CRM and management system takes place via API, where available. This means there is no need to modify the existing management system: the agent is inserted into the systems already in use, without invasive interventions and without recurring maintenance costs due to customizations of the client's management software.
